How to run Café QR, step by step.

The same short guides our venues use every day: a first test order, the menu, table codes, payments, the till, staff and the end-of-day cash-up. Read them before you sign up and see what’s involved. Most take a few minutes.

Watch first

66 seconds: ringing up a sale on the till and sending it to the kitchen.
Read the transcript

This is the Café QR till. It runs on any tablet or phone. Tap the items, pick the milk, and the order builds up as you go. Take cash, and it works out the change for you. Or use a card reader, or your own card machine. And every sale goes straight to the kitchen screen and printer, just like an order from a customer's phone. Customers can also order from your own page, with your logo and your colours. No app, no commission. Collection, or delivery. They pick their food, then type their postcode. Straight away they see that you deliver there, what it costs, and the minimum order. They add their address and phone number, pay by card or cash, and follow the order on their phone. In the kitchen, the delivery shows up with the address, the phone number, and what to collect. Ready for your driver.

30 seconds: a guest orders from the table code.
Read the transcript

Café QR: a QR code that does more than show a menu. Guests scan the table QR to open a branded menu with no app download. They tap to order, with options and a running total in the cart, and place the order to pay at the till. The order appears on the kitchen screen straight away: New, Preparing, Ready, one tap each. Snap a photo of a printed menu and the items are imported for you, ready to check. Print a QR code for every table and go live in minutes. Guests can opt in to your customer list, so you can send WhatsApp and email offers. Orders, menu, customers and QR codes are all in one place.

Your first test orderSee an order go from a guest's phone to your kitchen screen, in two minutes.+
  1. 1Open Help & guide and scan the "Try a test order" QR code with your phone's camera. Owners also see it on Today. (Or scan any table code you've printed.)
  2. 2Your menu opens on the phone. Tap + on a dish, then open the basket at the bottom.
  3. 3Type a name, then choose to order now and pay at the till, so no payment is taken.
  4. 4Tap "Open kitchen screen" on the same card. Your order is under New, with its table number.
  5. 5Tap Start cooking, then Mark ready, then Picked up to move it along, as you would during service.
  6. 6Doing another test? Tap Cancel on it while it's still under New or Cooking, so it doesn't count in your takings.

Do this once with your staff watching. Seeing a real order arrive explains the whole system faster than any manual.

  2. 2You only see the screens your plan and your role include.
  3. 3Tick "Remember my choice on this device" and the tablet opens straight onto that screen next time staff sign in.
  4. 4Kitchen staff land on the kitchen screen by themselves, and floor staff on the till or waiter app. The owner always lands on the dashboard.
  5. 5To stop a device opening a screen, open Open a screen again and tap "Stop opening … on this device".

  2. 2Tap Chime off at the top once, so it says Chime on and chimes for every new order. (Browsers only allow sound after a tap.)
  3. 3With more than one station, pick yours at the top (say Bar). It then shows only its own dishes.
  4. 4New orders appear under New, with the table, each dish, its options and any note.
  5. 5Tap Start cooking when you begin, Mark ready when it's ready to go out, and Picked up once it's served or collected.

  2. 2Type their email address, pick their role and, with more than one location, where they work. Tap Invite. They get an email to set a password.
  3. 3Once they've signed in, they appear under Current staff. Until then they're under Pending invitations.
  4. 4Roles: Kitchen (the kitchen screen), Floor (the waiter app: tables, open tabs and the takeaway till), or Manager (also orders, bookings, cash-up, menu, stock, offers and reports). Only owners change payments, staff, settings and the plan.
  5. 5Give each person a till PIN, so they can switch to themselves on a shared till or phone.
  6. 6Under "What each role can do", choose who may give discounts, comp or void items, refund, or mark items sold out, and which need a manager's PIN.
  7. 7To remove someone, tap Remove next to their name.

Staff accounts beyond yours may be billed as extra seats; the Staff page shows how many you have.

Changing or cancelling your planMove up or down a plan, switch features off, or cancel.+
  1. 1Tap your name at the top right, then Plan & billing.
  2. 2Under Change plan, tap Upgrade to or Move down to beside the plan you want, and confirm. Changes take effect straight away.
  3. 3Moving up is charged for the rest of this billing period on your next invoice. Moving down switches off what the new plan doesn't include, keeps your data, and leaves a credit.
  4. 4During your free month nothing is charged; the plan you pick is the one you keep after it.
  5. 5To cancel, tap Cancel subscription under Subscription. Everything keeps running until the end of the period you've paid for.
  6. 6Don't use part of Café QR? Open Settings, then Features, and switch it off. It disappears from everyone's menus.
