Home/Café POS and till system

Café EPOS · POS plan, £39 a month

A café EPOS and till system for coffee shops: till, kitchen screen and QR ordering

A café EPOS and till system, and a coffee shop POS, in one: it runs in a browser on the iPad, tablet, phone or laptop you already own. Ring up counter sales, take orders at the table, settle tabs, refund and cash up, with every order going to the right kitchen screen and printer, the same as one from a customer's phone or your online page.

✓ Drawer balanced

A sale on the till, start to cash-up. Two flat whites, a cappuccino and banana bread are rung up on the till for £13.20 and paid by contactless card. The order goes to the kitchen, a waiter's table order and an online collection order join the same queue, and at close the drawer is cashed up against the float and balances.

One POS for the counter, the table and the web

Orders reach the kitchen from five places and land in the same queue: the till, the waiter app on a phone, a QR code on the table, the self-ordering kiosk and your own online page. Staff see one board, the stock and takings add up in one place, and a regular is the same person whichever door they came in by.

Switch on the modules you use and hide the rest from the Features page, so a coffee shop does not have to look at a restaurant's floor plan.

  • ✓Counter till and waiter app (POS plan)
  • ✓QR table ordering (every plan) and self-order kiosk (POS plan)
  • ✓Collection and delivery on your own page, with no commission (from £14.99)
  • ✓Several venues, stock and recipes (Multi-site plan)
  • See every module →
  • See the kitchen display system →
  • See the self-order kiosk →
  • See how QR table ordering works →
02

Tables, tabs and the waiter app

Take an order at the table from a phone and send it straight to the kitchen. The table's tab builds up until it pays, in full or split, and a party that changes tables takes its tab with it. The floor plan shows which tables are free, ordering, waiting for food or ready to pay.

Table bookings fit your opening hours and the seats you actually have, and staff can add phone bookings, seat a party and mark a no-show.

  • See the floor plan and tabs →
  • See table bookings →
03

Staff roles, time clock and an activity log

Give each person a role: Kitchen, Floor, Manager or Owner, each seeing only what their job needs. Roles are in every plan. Staff clock in and out for payroll on the POS plan, and every refund, staff change and customer-data export goes in an activity log on the Multi-site plan.

04

Ring up a sale in a few taps

Pick a category, tap the items, choose milk or size from your own options, and add a table, a name or a note for the kitchen. The price comes from your menu, so a price you change in the dashboard is the price on the till.

Paying in cash shows quick amounts and the change to hand back. The order is marked paid and goes to the kitchen screen at once. On a phone, the sale sits in a bar at the bottom of the screen so the menu has the room.

  • ✓One menu for the till, table codes and counter codes
  • ✓Options, sold-out items and notes, as on the guest menu
  • ✓Tax worked out for how the sale is paid, including a separate cash rate where the law has one
  • ✓Add the home-screen icon on a tablet and it opens full screen like an app
  • See the till in detail →
  • The takeaway POS →
05

Take card payments on a reader

UK cafés with a connected Stripe account can send the total to a Stripe Terminal smart reader. The amount appears on the reader, the customer taps or inserts their card, and the sale is marked paid and sent to the kitchen. You can cancel a sale that is waiting if the customer walks away.

Already have a card machine you like? Take the payment on that, then tap Card on the till to record the sale. Either way the money is recorded against the order for your cash-up.

  • ✓Card reader payments go to your own Stripe account
  • ✓The reader is bought from Stripe, not from us
  • ✓Own-machine card payments are recorded, not processed, by Café QR
  • See pricing and plans →
06

Open tabs and unpaid orders

Choose Pay later and the order goes to the kitchen with a tab open. The kitchen screen shows Cash and Card buttons on any unpaid order, so whoever is serving can settle it when the customer is ready to pay.

Orders from customers who chose to pay at the till appear the same way, so nothing is left as unpaid with nobody able to close it.

07

Cash-up and takings

The takings export splits each day's money into paid online, cash at the till, card at the till and still to take, with tips, service charge and VAT, so you can reconcile against the drawer and hand a clean sheet to your accountant.

How it compares for a café

Most café EPOS prices look similar until you add what a café uses every day: a kitchen or barista screen and QR ordering. Using each provider's own UK pages, checked on 12 October 2026, here is how the full price builds up. Prices change, so confirm with the provider.

  • ✓Café QR POS: £39 per venue a month, with the kitchen screen and QR table ordering included and no per-order fee from us
  • ✓Square for Restaurants: free at £0, but the kitchen display is £15 per device a month on that plan and QR Scan to Pay comes with Plus at £69 per location
  • ✓SumUp POS Pro: £49 a month plus VAT, with the kitchen display at £19 per terminal and table ordering charged at 1.7% + 12p per order
  • ✓Epos Now and Lightspeed: quote-based or from £79 a month for the first terminal, aimed at bigger sites, with some contract terms

Refunds, cash-up and what it does not do

Cancel an unpaid order or refund all or part of a paid one from Order history, with a reason; card payments go back through Stripe and every refund comes off your takings. Cash-up opens the drawer with a float and closes it against what should be there. Tables keep a running tab that guests can split from their phone, and on the Multi-site plan each sale takes its ingredients off stock.

If the internet drops, the till keeps selling for cash and your own payment types: each sale gets a provisional OFFLINE receipt number, is kept on the device and uploads when the connection returns, with anything odd flagged for a manager. Card payments, tabs and manager PIN approvals wait for the connection, QR and online ordering need one, and sales taken offline do not send a kitchen ticket.

Receipts print through the device's normal print dialog, so any receipt printer the tablet or laptop can use will work. Kitchen tickets print on supported Star and Epson network printers. From Chrome or Edge on a computer, the till can also print straight to a USB receipt printer and open the cash drawer on a cash sale.

Saturday night questions

Will it hold up on your busiest night?

  • If the Wi-Fi drops

The till keeps taking cash (and your own payment types) and uploads those sales when it is back; they do not reach the kitchen screen, so call them through. Card payments, tabs and QR ordering wait for the connection. A 4G backup SIM and router is the usual fix, around £20 to £50 a month.

  • If something breaks

WhatsApp support is open 24/7, every day, on +44 7440 189478.

  • What hardware

Any iPad, Android tablet or laptop. Stripe card readers from £229 + VAT, and Star or Epson network printers. It does not open a cash drawer yet.

What is the best EPOS system for a small café?+

The one whose total monthly cost fits what your café uses: a fast till, a kitchen or barista screen and, if queues cost you sales, QR ordering. Café QR's POS plan is £39 per venue a month with the kitchen screen and QR ordering included and no contract. Square's free plan suits a café starting on nothing.

How much does a café till system cost?+

Published software prices run from £0 to £80 or more a month, before card fees, add-ons and hardware. Café QR's POS plan is £39 per venue a month, runs on a tablet you already own, and the first month is free with no card needed.

Is this a full EPOS system?+

It covers what most independent venues need: counter and table sales, tabs, split bills, refunds, kitchen screens, bookings, cash-up, staff roles and, on the Multi-site plan, stock and several locations. If you need card payments through an internet outage or a cash drawer that opens itself, keep your current EPOS and use Café QR next to it. A Square till can be linked so orders are pushed to it.

Do I have to use your card reader?+

No. UK cafés can use a Stripe Terminal reader, or take payment on any card machine and tap Card on the till to record it.

Can it replace my current till?+

For most cafés, restaurants, bars and pubs, yes. Set up your menu (or import it from a photo or Square), try a few real sales during the free month, and switch over when you are happy. Card payments, tabs and QR ordering need an internet connection (the till keeps taking cash if it drops), and it does not open a cash drawer.

What do I need to run it?+

A tablet, phone or laptop with a web browser and an internet connection, a connected Stripe account if you want card reader payments, and the Café QR POS plan.

Does it work on an iPad?+

Yes. The till, waiter app and kitchen screen run in the browser on an iPad, an Android tablet, a phone or a laptop. Add the home-screen icon on a tablet and it opens full screen like an app.

Is QR table ordering included?+

Yes. QR ordering at the table and counter is in every plan, and on the POS plan those orders go to the same kitchen screen, tabs and takings as sales rung up on the till.

Does it work in Pakistan?+

Yes, for cash, card taken on your bank's machine and Raast. Card readers are UK only for now.
