Café QR features · Stock

Stock control and recipe costing that follow every sale

Give each dish a recipe and every order takes its ingredients off stock at the venue that sold it. Cancelled orders put them back. Café QR works out each dish's cost and margin from your ingredient costs, warns you before something runs out, and records deliveries, waste and counts.

01

Ingredients and stock levels

List your ingredients with a unit, a cost per unit and a low-stock level. Stock is held per location, so each venue has its own count, and the Today page flags anything running low.

Receive stock when a delivery arrives, record waste with a reason, and do a stock count to correct the figures. Waste comes off stock and its cost shows in your reports.

02

Recipes and dish cost

A recipe says what one serving of a dish uses. When an order is fired, its ingredients come off stock at that location, once, even if a payment notice arrives twice; a cancelled order puts them back.

Options carry their own recipe changes. Extra shot adds coffee beans; a swap such as Oat milk adds oat milk and takes the dairy milk back. From those quantities and your ingredient costs, each dish shows its cost and margin.

03

Suppliers and purchase orders

Keep a list of suppliers, build an order to each one, and book the delivery in against the order when it arrives. Stock goes up as you receive, and part deliveries are fine.

Buy an ingredient in packs, such as a case of 24, from its usual supplier, and order in packs. Receiving a delivery adds pack × size to stock and moves the cost to the weighted average. Purchasing → Suggested turns everything below its par into draft orders, one per supplier.

Recipe costs also feed menu engineering in Insights, which sorts dishes by how well they sell and how much they make, and profit per dish on every channel, after VAT and delivery app fees.

Prep, counts and more than one site

Make prep items, such as a sauce or a dough, from a recipe. Make batch takes the components off stock and sets the prep item's cost.

Count stock on a printed sheet or blind, without the expected figures showing. Every difference is logged at cost, and the last 30 days of variance show where stock goes missing.

With more than one venue, each branch has its own par and low-stock level, and a central kitchen can send stock to a branch. It comes off the sender straight away, the branch receives what actually arrived, shortfalls are noted, and the transfer prints as a numbered delivery note.

  • ✓Prep batches with their own cost
  • ✓Blind counts and 30 days of variance at cost
  • ✓Pars per branch and suggested orders
  • ✓Central kitchen transfers with delivery notes
05

Plans and honest limits

Stock and recipes are in the Multi-site plan, £59 a month for the first venue and £29 for each extra venue, or the "Stock and recipes" add-on at £12 a month on any plan. With Insights and Food safety it is the Profit & Compliance deal, £19 a month, which adds profit per dish on every channel.

Café QR records a purchase order but does not send it to the supplier for you: you place the order your usual way and mark it sent. There are no supplier price feeds, and the stock figures are only as good as your recipes and counts.

Questions

Straight answers, before you start.

Visit the help centre →Ask us on WhatsApp
Does stock go down automatically when I sell something?+

Yes, for dishes that have a recipe. When the order is fired, its ingredients come off stock at the location that sold it, and a cancelled order puts them back.

Can options such as oat milk or an extra shot change the stock used?+

Yes. Each option can add or take back ingredients. Oat milk can add oat milk and take back the dairy milk, and an extra shot can add more coffee beans.

How is dish cost worked out?+

From the recipe's quantities and the cost per unit you enter for each ingredient. Each dish then shows its cost and its margin against the selling price.

Which plan includes stock and recipes?+

Multi-site, at £59 a month for the first venue. Single venues can add stock and recipes to any plan for £12 a month.
